Telegram bot

The Soloist Telegram bot takes bookings and sends notifications where your clients already are.

What it is

The Telegram bot is Soloist's official bot in the Telegram messenger. The client opens the bot from a link on your booking page, picks a service, staff member and time — and the booking goes straight into your schedule. No separate account or third-party sign-up is needed: the bot runs on Soloist's infrastructure. On the Standard plan clients get notifications through the shared Soloist bot; on Pro you connect your own bot with your name and avatar.

All the client needs is a Telegram account — almost everyone has one.

Provider site

What the integration gives you

  • Fewer no-shows — the client gets a free visit reminder 24 and 2 hours before, right in Telegram
  • Booking around the clock — the bot takes bookings at night and on weekends, when you're offline
  • Zero SMS costs — messenger notifications are free, unlike an SMS provider
  • Faster team response — the staff member sees a new booking and schedule changes instantly, with no call from an admin
  • Less manual work — the client does confirmations, reschedules and cancellations themselves in the chat

Use cases

How the integration looks in real work — depending on who you are.

Solo pro
Before

A client messages on Instagram at 23:40, you reply in the morning — half of them have already booked elsewhere.

After

The client opens the bot at night, picks a free time — the booking is in the calendar right away, and you see it in the morning.

Administrator
Before

You remind about visits by hand: calls the day before, and you didn't reach some clients.

After

The bot sends reminders a day and 2 hours before on its own; you only call back the ones who tapped “Reschedule”.

Team owner
Before

Staff learn about schedule changes from the admin — late and with confusion.

After

Each staff member connects the bot and gets notifications only about their own bookings, right after a change.

How it works

The path of data from an event in Soloist to the result for the client.

  1. An event in SoloistThe client creates a booking or you change the schedule
  2. Soloist builds the messageUsing your templates and reminder timing
  3. The bot sends it to TelegramTo the client — a reminder, to the staff member — a booking notification
  4. The client's replyA confirmation, reschedule or cancellation goes back into Soloist

Bot name and avatar

On Pro — your own bot name, description and avatar to match your brand.

Trigger events

Which booking actions send a message: creation, reschedule, cancellation, reminder.

Scope

For which services, staff and locations notifications are turned on.

What it costs

Who pays for what

SoloistThe integration itself is free on all plans that include Telegram notifications.
TelegramBot messages are free — there's no separate charge for traffic.
YouThe Soloist plan: the shared bot on Standard, your own branded bot on Pro.

Unlike SMS, the message cost doesn't depend on how many you send.

Limits and requirements

  • The client gets notifications only after they've opened the bot at least once — Telegram forbids a bot from messaging first.
  • Your own bot with a separate name and avatar is available only on the Pro plan.
  • Telegram may temporarily slow down mass sends — large salons get reminders with a small delay.
  • The client needs access to Telegram — if they don't have the messenger, use SMS or email as a backup channel.

Data and security

What is sent to the service

  • The client's name
  • Booking details: service, staff member, date and time, location address
  • The client's Telegram ID — after they've opened the bot

Where keys are stored

  • Your bot token is stored encrypted on the Soloist side
  • The token isn't shown again and isn't passed to the browser
  • You can revoke access anytime via @BotFather or the “Disconnect” button in your account

What is NOT sent

  • The client's phone number
  • Payment history and amounts
  • The client's notes and tags
  • Data of other clients or staff

Personal data processing complies with the Law of Ukraine “On the Protection of Personal Data”. Data is sent only to fulfill the booking and never for third-party advertising.

Frequently asked questions about the integration

No. An active paid plan is required: the shared Soloist bot on Standard, your own bot on Pro.

On Pro, one own bot is connected to the workspace. Several staff members can join it separately for personal notifications.

An unfinished booking doesn't block the slot. If the client didn't confirm their choice, the slot stays free for others.

The most common reason is that the client has never opened the bot. Telegram forbids a bot from messaging first, so the client has to tap “Start” once.

Account → Settings → Notifications → Telegram → “Disconnect”. Notifications stop immediately, and existing bookings remain untouched.

Yes. You can turn on both channels: Telegram as the main free one, SMS as a backup for clients without the messenger.

No. Communication goes only through the bot — clients can't see your personal account.

All your clients. All in Soloist.
